1. Who We Are

Yards ("the platform", "we", "us") is a football program management tool operated by Yards App Inc. We are based in Mexico and primarily serve teams in Baja California and across North America.

2. What Information We Collect

We collect information you provide directly when you create an account and use the platform:

• Account information — name, email address, and role (coach, player, league owner, etc.)
• Profile photos — headshot or avatar images you upload
• Team information — team name, category, color, logo, and roster
• Game data — schedules, play narrations, scores, formations, and game notes
• Player cards — player profile photos and stats you record in the app
• Chat messages — team chat messages sent within the platform
• Voice recordings — audio narrations recorded during games (stored temporarily for transcription)

We also automatically collect certain technical information:

• Device type and browser (for compatibility)
• IP address (for security)
• Usage logs (which features are used, error reports)

3. How We Use Your Information

We use your information only to:

• Run and improve the Yards platform
• Generate AI-powered game insights from your narrated game data
• Send you important notifications about your team and games
• Respond to support requests
• Detect and prevent fraud or abuse

We do not use your data for advertising, and we do not sell or share it with third parties for their marketing purposes.

4. AI-Generated Content

Yards uses artificial intelligence (Claude, by Anthropic) to analyze game narrations and generate coaching insights. When you request AI insights:

• Your game narration text is sent to Anthropic's API for processing
• Anthropic processes this data under their own privacy policy
• Each team receives its own separate AI insights report — your team's analysis is never shared with or visible to the opposing team
• AI-generated insights are visible to coaches on your team by default; coaches may choose to share them with their players
• We do not use your narrations to train AI models without explicit consent

5. Photos and Media

Photos you upload (team logos, player headshots, profile photos) are stored in our cloud storage and served publicly via URL. This means anyone with the direct URL can view the image. Do not upload images you do not have the right to share.

Voice recordings made during game narration are transcribed and then the audio file is deleted. We retain only the text transcript.

6. Who Can See Your Data

• Coaches on your team — can see all team data, rosters, game narrations, and player cards
• Players on your team — can see their own card, team games, and AI insights shared by coaches
• League owners — can see team standings, scores, and approved game results within their league
• Stats crew — can view and narrate games assigned to them by the league
• Yards staff — may access data to provide support or investigate abuse, only when necessary

We do not share your personal data with any other parties without your explicit consent, except as required by law.

7. Data Retention

We retain your data for as long as your account is active. If you request account deletion:

• Your personal profile information will be deleted within 30 days
• Team data, game records, and narrations may be retained in anonymized form for statistical purposes
• Chat messages are automatically deleted after 30 days regardless of account status

8. Minors

Yards is intended for use by coaches (adults). Players on youth teams may be minors. Coaches are responsible for obtaining appropriate consent from parents or guardians before adding minors to their roster or uploading their photos. We recommend using initials or nicknames for minor players when full names are not necessary.

9. Data Security

We use industry-standard security practices including encrypted connections (HTTPS), row-level security on our database, and access controls. However, no system is 100% secure — please use a strong password and keep your login credentials private.

10. Your Rights

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate information
• Request deletion of your account and data
• Export your data (contact us for a data export)

11. Analytics

We use Google Analytics 4 (GA4) to understand how coaches and players use the platform — which features they use, how often they open the app, and how sessions flow. This helps us improve Yards during our beta program.

Google Analytics collects anonymized usage data including pages visited, session duration, and device type. We also send a custom property (yards_role) indicating whether a user is a coach or player — no name, email, or personally identifiable information is ever sent to Google.

Google may use this data in accordance with their own Privacy Policy. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.

12. Cookies

We use cookies and similar technologies for:

• Authentication — keeping you logged in to Yards
• Analytics — Google Analytics 4 uses cookies to measure app usage (see Section 11)

We do not use advertising cookies or sell cookie data to third parties.

14. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes via the app or email. Continued use of Yards after a change constitutes acceptance of the updated policy.
